Booth Set up and Display Rules & Regulations

To ensure a smooth planning and event process, we strongly advise reviewing the event rules and regulations. This This includes: line of sight and booth height restrictions, safety, photography & filming, music & noise/volume, and other rules and exhibitor code of conduct topics. Thank you.

Several Important Items from the Display Rules:

  • Height Limits:

    • Linear Booths (10×10, 10×20, 10×30):  8 Feet Height Maximum. See the full rules & regulations document via the link above for height and line of sight guidelines for your entire space. The front half of the booth is 4 feet maximum and the back half of the booth is 8 feet maximum. Hanging signs are not permitted over any inline booths.
    • Island Booths (20×20 and larger):  16 Feet Height Maximum, including hanging signs
  • Line of Sight:

    • Linear Booths: In order to give all linear exhibitors good exposure to attendees as they walk the Expo Hall, display rules require that all items in the front half of each booth be under 4 feet tall. Tall banners/flags/display items/monitors cannot be placed toward the front of your exhibit space, as they will block sightlines for exhibits nearby. IMPORTANT: Variances for line of sight violations will not be given on-site, so exhibitors are encouraged to check in with Show Management pre-show if they require adjustments to their existing displays. On-site corrections may be time consuming and costly and will be required if your display does not comply.
    • Island Booths: Island booths are surrounded by an 8 to 10 foot aisle on all four sides. As a result, these booths do not disrupt full visual accessibility to the booths around them. Visibility from the front of the Expo Hall is not guaranteed to any exhibitor. Island booths are permitted to use the full cubic content of their space up to 16 feet tall. Island exhibitors are encouraged to design booths with visual openings and access from all sides, which will enable your staff to see attendees from all sides of your space, but this is up to each exhibiting company. Exhibitors located around these island booths should be aware that the island exhibitor may use the full cubic content of their space and are not required to take into account other exhibitors’ sight lines. Exhibitors in smaller booths with concerns should be in touch with their salesperson for other available booth locations. Island exhibitors located behind other island exhibitors need to note that variances for higher hanging signs or requests from show management to adjust booths for better rear visibility will not be granted.
  • The Exhibits are located at the The Mirage and it IS CARPETED with multi-color carpeting. Ordering additional or custom carpeting is optional.
  • Booths will be set with 8 foot High Black Back Drape and 3 foot High Black Side Drape. Hard walls / shells are not included.
  • Each booth space includes (1) Identification Sign. No Substitutions or Credits are allowed.
  • Mylar Balloons are not allowed, ­no exceptions.
  • IMPORTANT: All displays must be set by 5:00 PM on Tuesday, October 24, 2023. All freight must be unloaded and tagged with GES empty stickers by this time. Exhibitors & EACs may continue to work on the show floor until 6pm on Tuesday and from 8-10am on Wednesday fine-tuning their displays. EACs will not be permitted on the Expo Floor outside of official move in hours, but badged exhibitor staff may see the on-site Exhibit Hall Manager for late passes if urgent issues require attention after 6pm. Absolutely no entry or re-entry will be allowed after 6pm on Tuesday. Move-in is not permitted on opening day unless permission is approved in writing 30 days prior to the show, the booth can be set by one person in 30 minutes or less, on-site orders are not needed, all exhibitor freight is hand carried into the Expo Hall in one trip and no set-up empties or trash are created. Only 10×10 exhibitors who can fill all these requirements may send their request HERE. Any exhibitor or EAC who experiences move in / set up challenges that will impact their booth set-up by 5pm on Tuesday should email Libby Durfee, Exhibit Hall Manager. 
  • Hand Carry Item(s): An exhibitor may move material that can be hand-carried by one person from the exhibiting company, in one trip, without the use of dollies, hand trucks, or other mechanical equipment.
